We just wanted to send you a reminder for the upcoming deadline (12th May) for the selection of abstracts in your track. Having your joint opinions on the talks submitted ensures a high level of quality for the conference as a whole.

Thanks to everyone who already sent in their tracks' ranked list and/or filled in all the grades on Indico. Your swift work is greatly appreciated!

Dear Conveners for COSMO-26,

Abstract submission is closed, and we have received a total of over 350 abstracts. Now starts the process of selecting contributions for talks and posters in the various parallel tracks. We'd like to provide some instructions to smooth the process. We have timeslots for 200 talks and can accommodate 100 posters.

You should be able to see the talks that indicated your track in your overview (Reviewing Area) on the indico page https://indico.global/event/15863/. Participants had the option to indicate several tracks for their talk, and many have done so. Talks are judged independently in each track (but you will see the comments from the conveners of the other tracks)

Please consider ALL proposals that are listed in your track. If you think that a talk that appears in your list would be more appropriate in another session THAT THE SUBMITTER DID NOT INDICATE please indicate this with the ‘change track’ action. 

These cases should be rare. Note: DO NOT USE THE ‘EDIT TRACK LIST’ button - this will edit the submission move talks in and out of tracks without any confirmation from other conveners or SOC.

When reviewing, you can give a score, and propose to accept or reject the abstract. Also indicate whether you think a poster would be more appropriate. Please use the ‘reject’ button very sparingly, instead use the scores to rank your abstracts, and then discuss with the other conveners of your track to consolidate the rankings together. You can customise the view of the abstract list on indico to show and sort the scores and review status of the abstracts.

Once all your selections are in, the SOC will look for duplicates and come back to you with how many further talk slots you can assign. So please make a generous reserve list from the outset to make this extra step easier.

The scheduling of the programme will be done at a later stage. 

Based on the number of submitted abstracts we have made a preliminarily allocation for the number of talks to each track (divided over blocks of 5 talks each).  You can find it at the end of the email.
